LJMU takes your privacy very seriously. This privacy notice explains how we use your personal information and your rights regarding that information. We are committed to being transparent about how we collect and use your data and to meeting our data protection obligations.

Pre-Season Player Development Tests

In order to develop the upcoming football talent and test performance of players, Crown Football Limited (Crown) have teamed up with experts at Liverpool John Moores University (LJMU) to provide Pre Season Performance and Development testing and performance profiling (Performance Tests) to certain player participants (Participants).

When we refer to 'personal information' in this Privacy Notice we mean the information that is collected and used about a Participant, which can personally identify such Participant.

This is a privacy notice directed at Participants (and their parents or guardians where they are under the age of 18), explaining how LJMU process personal information collected from Crown and from Participants (or their parents/ guardians if applicable) directly in accordance with relevant data privacy laws. It applies to all Participants who are to receive the Performance Tests.

What information are we collecting?

LJMU will collect, store and use the following categories of personal information about Participants received from Crown in relation to the provision of the Performance Tests:

Registration Data

  • Name
  • Age
  • Weight
  • Height
  • Parent / Guardian contact details (if applicable)

Registration Data will be shared by Crown with LJMU in order to enable LJMU to identify the Participants who are to undergo the Performance Tests.

As well as using Registration Data received from Crown, LJMU will collect, store and use the following additional information from Participants to provide the Performance Testing:

Administration Data

  • Name
  • Age
  • Weight
  • Height
  • Gender
  • Address
  • Phone Number
  • Current Football Club of the player.

Performance Profiling Data

  • Body Composition
  • Metabolic Rate
  • Aerobic Capacity
  • Substrate Utilisation

Performance Profiling Data is used to set goals which support Participant performance and development.

The key objective of the provision of the Performance Tests is to:

  • conduct performance profiling on Participants to test Vo2 Max and Lactate Threshold combined, BIA, Resting Metabolic Rate, Max strength and Power Profiling, Speed agility Quickness, Isokinetic Quad Hamstring strength
  • to enable performance to be compared in the future to determine progression of Participants.

Special Category Information

It is possible, although it is not a key objective, that during the Performance Tests a Participant reveals sensitive/confidential personal information relating to the Participant. When we refer to sensitive/confidential personal information which may relate to player, we mean personal information regarding a player participant's:

  • Health
  • Mental health or condition
  • General wellbeing / treatment at the Academy
  • Financial wellbeing
  • Lifestyle or social circumstances – which may include information relating to gender reassignment, religion or belief, sex or sexual orientation, or health intelligence data

This is "Special Category Information". Special Category Information requires extra protection and LJMU are committed to implementing and complying with additional safeguards in respect of such information.

Why are we collecting your data and what is the legal basis for this?

LJMU collect personal data of Participants and their parent/guardians (if applicable) through the following routes:

  • Completion of registration forms
  • From participants and parents / guardians through communication with LJMU
  • Through the testing process

LJMU requires a legal basis under data protection and privacy law to collect, use and share personal information – these legal bases are as follows:

  • Registration Data - Consent obtained by Crown
  • Performance profiling Data - Explicit Consent of the Participant
  • Administration Data - Legitimate interests of LJMU in performing its obligations under contract with Crown in effectively delivering the Performance Testing to the Participant
  • Special Category Information - Explicit Consent of the Participant

Who has access to this data?

Your personal data will be used only by relevant LJMU staff in the Performance Sport department where the data is necessary for them to undertake their designated role.

We will also share your data with Crown.

How does the university protect your data?

The university takes Data Protection very seriously and at all times your personal data will be handled in line with the university’s Information Security Policy.

Paper documents stored in locked cabinet in Primrose Hill Building room G.08. Electronic data will be stored in a secure Google cloud drive.

All data collected on University systems will be anonymised by initials of participants.

For how long does the university keep your data?

LJMU will only retain personal information (including special category Personal Information) for as long as is necessary to fulfil the purposes that it was collected for, including for the purposes of satisfying any legal, accounting or reporting requirements in accordance with its retention policies. LJMU will retain the personal information for 2 years following completion of the Performance Testing to enable progress to be monitored in subsequent years.

To determine the appropriate retention period for personal information, the following is considered:

  • the quantity, nature and sensitivity of the persona data
  • any potential risk of harm from unauthorised use or disclosure
  • the purpose of the processing
  • any legal or regulatory requirements

Personal information may be anonymised so that it can no longer be identified to particular individuals and in such circumstances can continue to be used.

When the personal information is no longer needed it will be securely destroyed.

Your rights

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request, this could be in a portable electronic format
  • require the university to change incorrect or incomplete data if you think that it is inaccurate or out of date
  • require the university to delete or stop processing your data, for example where the data is no longer necessary or legally required for the purposes of processing

If your personal data has been provided by consent, you have a right to withdraw that consent at any time.

What if you do not provide data?

If you do not provide the data required, unfortunately we cannot go ahead with the tests as part of the Performance Profiling battery.

Transfers of data outside the UK

Generally, we do not send your personal data outside the UK. However, in some specific cases we may transfer the personal data we collect to countries outside the UK in order to perform our contract with you/or a contract with another organisation that requires your personal data i.e. a collaboration agreement with a university based outside of the UK. Where we do this, we will ensure that your personal information is protected by way of an ‘adequacy regulation’ with the UK or by putting alternative appropriate measures in place to ensure that your personal information is treated by those third parties in a way that is consistent with and which respects the UK laws on data protection, for example model contractual clauses, data sharing/data processing agreement and binding corporate rules (where applicable).

Automated decision making

We will not make any decisions about you automatically using a computer, based on your personal data. All decisions affecting you will be taken by a human.

How to complain to the Information Commissioner’s Office?

You have the right to complain to The Information Commissioner if you believe that our processing of your personal data does not meet our data protection obligations. The Information Commissioner can be contacted:
